A practical resource for independent cleaning businesses
Cleaning quote request forms: what to ask
Ask for enough information to start a useful conversation, then collect the details you need to prepare the quote. Your first form does not have to do every part of the job.
Start with the decision you need to make. Can you serve this location? Do you offer this type of cleaning? How should you reply? Build the first form around those questions. Add other fields when they help you decide what happens next.
1. Choose a small set of useful fields
The following is a starting point, not a mandatory specification. A home cleaner, a commercial cleaner and a move-out specialist may need different information.
| Field | What it helps you do | Suggested approach |
|---|---|---|
| Name | Address your reply to a person. | Use one name field unless separate first and last names are useful to your process. |
| Send a reply and follow-up questions. | Make it required if email is your main reply channel. Check the notification reaches your inbox. | |
| City or service area | Check whether the job is in your coverage area. | Ask for the area you need to assess fit. Collect a full address later if it is not needed yet. |
| Cleaning type | Route the request to the right service. | Offer the services you actually provide, such as home, office or move-out cleaning. |
| Frequency | Distinguish a one-time request from repeat work. | Include a “Not sure yet” choice when you can advise the customer. |
| Property details | Identify questions needed before quoting. | Ask only the details relevant to your service. Describe any size unit clearly. |
| Notes or preferred date | Understand unusual needs or timing. | Use an optional notes field. A preferred date is a request, not a confirmed appointment. |
If you prefer phone enquiries, make that route easy to find. Requiring both phone and email should be a deliberate choice rather than an automatic default.
2. Say what happens after submission
A request for a quote, an estimate and a confirmed booking are different steps. Tell visitors which step the form completes. Explain whether you need a conversation, photographs or an assessment before providing a price. State a response time only if you can consistently meet it.
Before the form: Tell us the type of cleaning, your service area and a few details about the property. We will review your request and contact you about the next step. Submitting this form does not confirm a price or book a cleaning appointment.
After submission: Thank you for your request. Please check that you have provided the correct email address. Our team will review the details and reply using the contact information you supplied.
3. Check the email, not just the confirmation
A successful on-screen message is one part of the test. Check that the business owner receives the notification, that the submitted details are readable and that replying reaches the intended person.
- Try leaving a required field empty and entering an incorrectly formatted email. The form should explain what needs correcting.
- Send a clearly marked technical test with a real address you control. Check the expected inbox and spam folder.
- Read the notification and verify the reply address. An email field with valid formatting does not establish that you entered the right mailbox.
- Try the page on a phone. Check labels, typing, the submit button and any error messages.
- Repeat the relevant test after changing the recipient, notification settings or email connection.
In WordPress, notification settings and the email connection need to work together. If delivery fails, investigate the form notification and sending configuration before relying on the form for customer enquiries.
4. Keep the request clear and proportionate
Explain how you will use the submitted information and provide a route for questions about it. Do not ask for payment details, account passwords or sensitive customer records in a general quote request. Only collect attachments when you have a clear need and a suitable way to handle them.
Review the form for spam protection and decide who will check incoming enquiries. A working form still needs a person and a practical process to turn an enquiry into an agreed job.
5. Keep a few useful replies ready
Before replying, check the contact details, service area and requested work. Ask only for missing information. Replace the placeholders and confirm timing only after checking actual availability.
When the request is incomplete
Hi [name], thanks for contacting [business]. Could you tell us your city or neighbourhood and the type of cleaning you need? We do not need your full street address at this stage. Once we have those details, we can check whether we offer the service in your area and explain the next step.
When you need details for a quote
Hi [name], thanks for the details. To prepare a quote, could you confirm [missing details: approximate property size and unit, areas to clean, cleaning frequency, or priority tasks]? If timing matters, please share your preferred date or range. We will check availability before confirming a date.
When an assessment is needed first
Thanks, [name]. We need [a brief call / a property assessment] before providing a price. We will suggest an assessment time after checking availability. After that, we will send the proposed work, price and available service dates for you to review. We will arrange the cleaning after you agree to those details.
These replies should not request passwords, payment details or instructions for entering the property.
A quick check before you rely on the form
You can tick this checklist as you review your page. These checkboxes do not submit information or record a score.
